Thank you to everyone who has responded to our emails leading up to our switch to Google. In an effort to further support everyone during this transition, we have created this FAQ adressing your questions and concerns.

Gmail questions

Go to either mail.ccad.edu, or Gmail.com. Enter your faculty/staff email address and click Next. You will see the login screen with the Art Sign background. Enter the same password you use for your email now and click Sign in.

Yes, you will log into Gmail with the same faculty/staff email address you use now..

After Friday 5 PM, you will be able to log into your new CCAD Gmail account. While most mail and calendar items will be fully transferred at that time, there may be items still being migrated over to Gmail. Once all of these migration processes are complete and you can expect to see all items, we will notify you.

If after that point you notice any items are missing from your email or calendar, please notify the Help Desk at 614-222-6174 or helpdesk@ccad.edu.

Yes. All email and calendar items that were in your Outlook will be transferred into your Google account.

Yes. Any folders that you previously created in Outlook should be transferred over to your new Gmail account. Look for an “_Inbox” folder. Once you click on this folder, all of your folders, and the email within those folders, should appear as they were before.

Mail archived mail items are stored locally on your computer and not in your Outlook account and so they will not transfer into your Google account automatically. If you have a mail archive, please email helpdesk@ccad.edu and we will work with you to transfer these items into your Google account.

If you have not already done so, we recommend installing the Gmail app on your mobile device. If you need assistance doing this, feel free to reach out to the Help Desk at 614-222-6174 or at helpdesk@ccad.edu.

No, there is no attachment limit; however, if the sum of files you are attaching to a message exceeds 25MB, the files will be automatically added to your Google Drive and attached as Drive links. When the recipient clicks the Drive link in your message, they will have access to download the files from your Google Drive.

Yes, inbox rules in Gmail are called Filters. This can be done in the Gmail settings menu. Please click here to set up inbox Filters.

You should use your CCAD email address ending in @ccad.edu.

Yes. You open a web browser and sign into Google with your personal email. Then on a separate tab within that browser, you can sign into Google with your CCAD work email credentials.

Yes. Any email that you marked via “Flagging” in Outlook will be transferred over and marked as “starred” in Gmail. There is a star icon that appears next to each email in your inbox that allows you to star that specific email.

They will not transfer automatically. If you need to transfer your mail archive over to your Gmail account, please contact the Help Desk for assistance at 614-222-6174 or helpdesk@ccad.edu.

You can right-click messages in Gmail and In Gmail, you have the option to highlight an email and select the archive option. Please click here to learn how to archive mail and how it works.

Yes. Shared and departmental inboxes and calendars will still be accessible.

Yes. Any unread Outlook emails will remain unread when transferred to your Google mailbox.

Outlook questions

Once we make the switch to Gmail Frday at 5PM, Outlook will no longer be able to send new mail. Because it will take a couple days for other email providers to be made aware that our email addresses should route mail to Google, you may still see a new email here or there go into your Outlook account. We will continue to update you once the changeover is complete, and from then on your will only send and receive new mail and calendar items in Gmail.

However, you will be able to learn about and use Google at your own pace. The Help Desk is also ready and able to assist you if you have questions or would like some help learning about new features. Feel free to reach out at 614-222-6174 or helpdesk@ccad.edu.

If this is the case and you need certain functionalities or plugins only available in Outlook, please email helpdesk@ccad.edu and let us know what they are and what you need to be able to do. If this can only be achieved in Outlook, we will work with you to connect your Gmail account to Outlook on your computer.

No. You will need to update any bookmarks you have for your CCAD employee email to mail.ccad.edu or Gmail.com.

No. Only contacts, emails, and calendar items are migrated over to Google.

Yes. The search bar is located at the top of your email inbox. The search functionality of Gmail is very helpful, and is easy to use. Click here to read more about Gmail search functionality.

Google Calendar questions

You will have access to one year of calendar items. If you need items older than a year, please send an email to helpdesk@ccad.edu with how far back you need to request that these items be transferred from your old email account.

Google Apps questions

Due to the critical need to continue teaching and collaborating for class, Faculty and Students will have access to these application immediately. Staff will be able to access these apps sometime during Summer 2020.

If you had a personal Gmail address created with your CCAD email address such as email@ccad.edu, after moving our accounts to Google this conflicting account was changed by Google to email%ccad.edu@gtempaccount.com. All of the files and services associated with this account still exist.

You will need to change the account to another available address ending in @gmail.com, or move the files from your @gtempaccount.com account to another account using Google Takeout.

Other questions

Yes. Until we can implement shared Google Drive storage and academic and administrative areas have been able to move their files there, our current network drives will remain accessible. Please refer to these instructions to connect to network drives while off campus:

Yes, however at this time, we have not developed a solution yet for integrating Microsoft Teams with Gmail. Once we have a solution, we will make a public announcement.

Yes. Any of your contacts and their information will be transferred over to Google.

No. Contact groups created in Outlook will not be transferred over, however individual contacts and their information will be transferred. Contact groups can be re-created in Google. Please click here to learn more about Google Contacts.
